Consider the following when you’re mapping out your itinerary:
How far in advance should I begin planning my trip?
We suggest beginning to plan the trip six to nine months before the tour begins. If you’re completely new to planning travel tour groups, give yourself one year to prepare, promote and garner interest, and allow time for your community, church, or friends to prepare for the necessary time off and financial requirements. In short, plan far enough ahead so that you feel ready when the time comes to depart for your tour!
When is the best time to take a tour?
Any time! Generally, Christian groups want to schedule their trip when busy holiday seasons have passed. For example, just after Easter is a wonderful time to visit the Holy Land. Consider the weather as well—from November to March, Israel has cooler temperatures and some rain. June to August, on the other hand, is very warm. Give us a call, and we’ll help you decide when is the best time for you and your group to come.
Decide on your itinerary.
Deciding on an itinerary is important when considering your larger vision for your journey. What kind of experience do you want to have? Do you want to primarily focus on Christianity and biblical sites? Would you rather connect to the land, people, and history of Israel as a whole? Do you want to include recreational activities in between site visits? We’ll help you customize your special itinerary or you can choose our signature itinerary perfectly crafted and planned for Holy Land Christian group touring.
What’s more powerful than a social network of people with shared goals and interests? To create such a network, the first step is to identify individuals or groups in your ministry that can direct the recruitment process. No special skills are required, but interpersonal skills and enthusiasm are certainly important. Often, tour planners allow the priest, pastor, or ministry leader to select staff and congregation members to help put planning for the tour into motion.
Once you have your team, establish a goal for your travel tour date. Speak to other tour leaders or organizers from your ministry or nearby ministries who have experience organizing tours to the Holy Land or similar places. Once you have your goal in place, enlist as much support as possible to get the word out to the congregation!
You’ll need effective marketing tools to promote your Trinity Travel Tour to Israel. We have an excellent Christian Leader tool kit complete with sample letters, promotional flyers, PowerPoint presentations, videos, and banners, which can all be used for your recruitment process with your ministry. Trinity Tour Travels will provide all advertising & marketing materials for all tours. Presentations, meetings, posters, brochures, bulletin announcements and more.
Be Creative! Here are some ways to spread the word.
Schedule regular announcements about the travel tour date. Spread the word and obtain names and contact information for those with even a slight interest in going. The list will be a great tool to make future trips easier to plan as well.
Create an easy way to sign up for the trip: disperse and gather sign-up sheets with contact information such as name, address, phone number, and email. Provide an email address for inquiries, a reservation process, and a call to action with Trinity Travel Tours as your partner. For example: “Sign up today! Call Trinity Travel Tours at (800) 687-0306 or email them at sami@trinitytourtravels.com to join the United Methodist Church trip this June.” We can provide reservation details with an easy one-time call or email from an interested member.
We’ll help you set up a group deposit and deadline. You can then collect the amount amongst your travelers, and we can work out the details on amount and deadlines together. Ensure that those registered will follow up and take the trip. Communicate new information regularly, such as insight and recommendations for new tourists. Provide trip tips on the itinerary, route, packing lists, and customized activities for your party.
Walk where Jesus walked, and explore where God communicated with man, in glorious the Holy Land! Hold onto your professional guide and local representative’s contact information at all times. Take photos! Make sure someone is capturing every highlight and post videos and photos on blogs and social media sites. Videos and photos will make for great promotional material for future journeys. Interview participants, record your tour guide, and soak in the beauty of biblical sites. Most importantly, remember to take time aside to reflect, meditate, and pray. Read from your Bible. Provide your group with a truly spiritual community experience.
After your return, you may be asked to begin regularly organizing trips, which can make you an integral part of your church community. Build on successful tours by inspiring excitement and enthusiasm with descriptions of your Holy Land experience. Be honest and thankful. Take time to thank each participant by sending letters to leaders and members of your team. Write about your trip in bulletins, emails, websites, and social media. Encourage participants to “Like” and Share their experiences, photos, and videos. Set up a post-trip meeting to remember your magical trip and to set another date for your return visit to the Holy Land.
